Thank you for choosing Universal Limousine and Transportation Co. Inc. By booking our ground transportation services, you agree to the following terms and conditions. Please read them carefully before making a reservation.

Booking and Reservations

When you book transportation with us, you’re entering into a binding agreement for the services requested. We require advance notice for all bookings: a minimum of 4 hours for sedans and SUVs, and 24 hours for all other vehicles, including executive sprinter vans, motor coaches, and specialty vehicles.

All reservations require a non-refundable deposit equal to one-third of the total trip cost. This deposit guarantees that we will provide the service as arranged and covers our commitment of vehicles and chauffeurs to your booking. We charge the remaining balance the next business day after your service is completed.

We accept major credit cards for payment. Please note that all trips paid with a credit card will include a 3% processing fee when the trip is finalized. For specific pricing, payment options, and any questions about costs, we encourage you to speak with your sales representative during the booking process.

Cancellations and Changes

We understand that plans change. If you need to cancel your reservation, please contact us as soon as possible. Our cancellation policy varies by vehicle type: cancellations for sedans and SUVs must be made at least 4 hours before your scheduled pickup, while all other vehicles require a 1-week advance notice.

If you cancel within 72 hours of your pickup time a service fee equal to the total trip cost, will incur. Your non-refundable deposit of one-third of the total trip cost will be forfeited for any cancellation. These policies enable us to allocate our resources effectively and maintain high service quality for all clients.

To make changes to your existing booking, contact your sales representative directly. If they’re unavailable, our dispatch department can assist you. We’ll do our best to accommodate modifications, though significant changes may affect pricing or availability.

Service Delivery

We operate 24/7 and are committed to punctual, professional service. Our dispatch system automatically tracks flight arrivals for airport pickups, adjusting chauffeur arrival times to match your actual landing rather than scheduled times. Two hours before your trip, you’ll receive an email with your chauffeur’s name and contact number.

While we make every effort to arrive on time, factors beyond our control—such as severe weather, traffic accidents, or road closures—may occasionally affect timing. We appreciate your understanding in these rare situations and will always communicate any delays promptly.

Additional Charges

Several circumstances may result in charges beyond your initial quote. Overtime charges apply when trips exceed the originally scheduled duration. Wait time charges may apply if delays occur during your service. Additional stops beyond those included in your original booking will incur extra fees based on duration and distance.

Cleaning fees will be charged if excessive mess or damage occurs in the vehicle. While we welcome pets in our vehicles, a cleaning fee may be applied if a pet creates a significant mess. Tolls and parking fees incurred during your service are passed through to the customer.

Passenger Responsibilities

Our entire fleet is maintained with great care to meet state safety regulations and comfort standards. To ensure a safe, pleasant experience for everyone, we ask passengers to treat our chauffeurs and vehicles with respect. Our chauffeurs reserve the right to refuse service to passengers who are overly intoxicated, behaving inappropriately, or creating unsafe conditions.

Smoking is not permitted in any of our vehicles. Any damage to vehicles caused by passengers will result in repair charges. Please secure your personal belongings during transport—while we take care to provide a safe environment, we cannot accept responsibility for lost or damaged personal items.

If you require child safety seats, please inform us when booking so we can provide the appropriate equipment based on your child’s age and weight. We offer infant carriers, convertible seats, and booster seats upon request.

Flight Delays and Schedule Changes

For airport pickups, our system automatically tracks your flight and adjusts pickup times accordingly. You don’t need to notify us of flight delays—we’ll be there when you land. However, if your flight is significantly delayed or cancelled, please contact us if you need to reschedule or cancel your reservation entirely.

Receipts and Billing

Receipts are emailed directly to you after trips are processed and payment is finalized. If you don’t receive your receipt, please email reservations@universallimo.com and we’ll resend it promptly.

If the amount charged differs from your original quote, this may be due to overtime charges, wait time charges, additional stops, cleaning fees, or vehicle damage. We itemize all charges clearly on your receipt. If you have questions about any charges, please contact us for clarification.

Limitation of Liability

Universal Limousine provides transportation with care and professionalism. However, we cannot be held liable for indirect, incidental, or consequential damages arising from service delays, cancellations, or other circumstances beyond our reasonable control. Our total liability is limited to the amount paid for the specific service in question.

We carry appropriate commercial insurance and operate in full compliance with California transportation regulations.

Governing Law

Any disputes arising from these terms or from services provided will be resolved in the courts of Sacramento County, California. By booking transportation services with Universal Limousine and Transportation Co. Inc., you acknowledge that you have read, understood, and agree to these Terms and Conditions. Your reservation confirmation serves as your electronic signature, indicating acceptance of these terms.
